Duties and Responsibilities:
  • Receive, register, and maintain a systematic log of all enquiries, requests for quotations, and tender invitations pertaining to DX air-conditioning projects.
  • Coordinate the preparation, review, and submission of quotations, bids, and technical proposals for DX systems, including VRF/VRV, packaged, split, and ducted split units.
  • Maintain up-to-date records of enquiries, quotations, sales bookings, and project status, ensuring that all data is accurately reflected in departmental reports and systems.
  • Liaise with the DX sales, estimation, procurement, and project teams to obtain technical and commercial inputs required for proposals and project planning.
  • Monitor bid due dates, equipment submittals, and submission schedules to ensure timely completion and delivery of all project documentation.
  • Prepare weekly and monthly reports on sales activities, bookings, pending quotations, and project progress for management review.
  • Assist in planning and coordinating project activities, including submittals, documentation, and follow-up with clients, suppliers, and internal stakeholders.
  • Maintain an organized and confidential filing system for all sales, tender, and project-related documents.
  • Perform general secretarial and administrative duties, including preparing correspondence, scheduling meetings, and managing departmental communications.
  • Carry out any other duties assigned by the Head of Project Sales & Engineering in support of the DX Projects business.
Requirements:
  • Diploma or bachelor’s degree in business administration, Marketing, Engineering, or a related field.
  • Minimum of 3 years of experience in sales coordination, tender administration, or secretarial support within the DX air-conditioning or MEP contracting industry.
  • Proficiency in Microsoft Office applications; familiarity with ERP or CRM systems is preferred.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • High attention to detail and accuracy in documentation.
  • Ability to coordinate effectively with multiple stakeholders and manage competing priorities.
